These Terms & Conditions apply to participation in the Scottish Fair Trade youth delegation attending the International Fair Trade Towns Conference in Belgium in October 2026.
Eligibility
- Applicants must be aged 18 or over at the time of travel.
- Priority will generally be given to young people aged under 26.
- Applicants must be resident in Scotland.
- No previous experience in Fair Trade campaigning is required.
Selection Process
- Places will be allocated through an open application process managed by Scottish Fair Trade.
- Applications will be assessed based on enthusiasm, interest in global citizenship and Fair Trade, willingness to engage, and commitment to follow-up activity.
- One participant will be selected as the recipient of the Catherine Newman Youth Bursary.
- Scottish Fair Trade’s decision is final and no correspondence will be entered into regarding selection outcomes.
What Scottish Fair Trade Will Provide
Scottish Fair Trade will cover reasonable participation costs including:
- travel
- accommodation
- conference registration
- agreed meals and activities
- travel insurance (where applicable)
Participants are responsible for any personal spending or optional activities not included within the agreed programme.
Participant Expectations
Participants are expected to:
- attend pre-departure preparation sessions
- participate fully in the conference programme
- behave respectfully towards fellow participants, staff, hosts and delegates
- contribute to shared learning and group activities
- create agreed follow-up content or reflections following the trip
- participate in a follow-up session or contribution at the Scottish Fair Trade Annual Gathering
Participants selected through the Catherine Newman Youth Bursary may also be asked to present at the conference in Belgium and take a leading role in creative storytelling and communications linked to the visit.
Safeguarding & Conduct
- Participants will be accompanied by Scottish Fair Trade staff throughout the programme.
- All participants must follow Scottish Fair Trade’s safeguarding, equality and code of conduct policies.
- Bullying, harassment, discriminatory behaviour, unsafe conduct or illegal activity will not be tolerated.
- Scottish Fair Trade reserves the right to withdraw participation from any individual whose behaviour is considered unsafe, inappropriate or likely to negatively affect the group or organisation.
Media & Communications
Participants may be photographed or filmed as part of the programme and related communications activities.
By accepting a place, participants agree that Scottish Fair Trade may use photographs, video, quotes or creative outputs for:
- social media
- website content
- reports to funders
- promotional materials
Participants will always be represented respectfully and appropriately.
Health & Travel
Participants are responsible for informing Scottish Fair Trade of any relevant health, accessibility or support needs in advance of travel so reasonable support can be arranged where possible.
Participants must:
- hold a valid passport
- comply with travel requirements and deadlines
- follow guidance provided by staff during the visit
Changes & Cancellation
Scottish Fair Trade reserves the right to amend or cancel the programme due to circumstances outside its control, including travel disruption, safety concerns, insufficient funding or conference changes.
If a participant withdraws after accepting a place, Scottish Fair Trade should be informed as soon as possible.
Data Protection
Personal information submitted as part of the application process will only be used for administering the programme and will be handled in line with Scottish Fair Trade’s privacy policies.
